The Executive Secretary will provide high-level administrative support to executives and senior management, ensuring the efficient operation of their office and helping them manage their time and tasks effectively. This role plays a crucial part in facilitating communication and organization within the company.

Key responsibilities

  • Manage executive correspondence, including email and phone calls.
  • Prepare and edit reports, presentations, and documents.
  • Schedule and coordinate meetings, conferences, and travel arrangements.
  • Act as a liaison between executive and internal / external contacts.
  • Draft, edit, and proofread business communications.
  • Maintain executive’s calendar and assist with time management.
  • Coordinate special projects, events, and office organization.
  • Handle confidential information with discretion.
  • Use office software proficiently to support daily operations.

Role requirements

  • Bachelor’s degree or equivalent with 8+ years of experience.
  • Proven experience as an executive secretary or similar role.
  • Strong communication, organizational, and multitasking skills.
  • Ability to work independently and prioritize tasks effectively.
  • Attention to detail and high level of accuracy.
  • Proficiency in office software and equipment.
  • Problem-solving skills and ability to handle pressure.
  • Discretion in handling confidential information.
