Admin Assistant, Vendor Management

We are currently seeking a highly organized and motivated candidate to provide administrative support to the Group Corporate Affairs and People & Culture Communications teams. The successful candidate will have experience in external vendor management, budget management, recruitment administration, and technology support.

Key responsibilities

  • Support and manage vendor relationships, participate in the RFP ‘request for proposal’ process, onboard new vendors, draft contracts, and maintain vendor contracts.
  • Working closely with the Corporate Affairs & Brand and People & Culture Communications Business Planning Managers (BPMs), track and manage all team budgets, providing regular updates to department heads.
  • Support in processing invoices, and manage payments, including cross-border recharges, credit card purchases, and expense processing.
  • Raise job requests on the portal in support to the Talent Acquisition team.
  • Manage contract workers’ onboarding and timesheet approvals.
  • Minimal basic support on diary management support to the Managing Directors based in Singapore and support their travel bookings and expense claims.

Role requirements

  • Min 6 years of experience in administrative support, with a focus on vendor management, budget management, and recruitment administration.
  • Proficient in Microsoft Office and other relevant software applications.
  • Strong organizational skills with project management experience.
  • Ability to work independently and collaboratively with cross-functional teams.
