Executive Assistant to Chairman (EA / PA)

Our client is a well-established business group of one of the biggest conglomerates in Hong Kong with a diversified business portfolio. They are looking for an experienced Executive Assistant to the Chairman, with also responsibility to support the Board of Directors and Senior Leadership team on admin duties.

Key responsibilities

  • Taking on a key role to support the Chairman on both business and personal/family matters – especially in scheduling appointments, meetings, arranging travel as well as other leisure activities; and managing overall household affairs and events management support.
  • Provide administrative support on daily operations in the CEO office, ensure the efficiency and timely delivery.
  • Responsible for travel arrangement & coordination such as itinerary, air-ticket, accommodation, travel expenses and insurance etc.
  • Responsible for the planning, coordination & maintenance of the executive’s agenda including any personal & business appointments, meetings, and conferences.
  • Required to attend meetings, responsible for the preparation of meeting materials, minutes taking & reports writing when necessary.
  • Handle incoming telephone calls & emails such as screening, taking messages, returning calls, and responding to emails when necessary.
  • Support on paperwork including the preparation of documents such as reports, correspondence & presentations, proof-read and make corrections/amendments when required.
  • Maintain the filing system and ensure confidential documents are kept securely.
  • Manage the administration of all expenses & claims such as petty cash.
  • Assist in ad-hoc tasks whenever required.

Role requirements

  • Degree holder or equivalent.
  • Minimum 8 years of experience as Executive/Personal Assistant and/or in a similar administrative/secretarial role to C-Level executives in a conglomerate or F&B/ hospitality industry preferred.
  • Relevant CEO office experience from a conglomerate or F&B/ hospitality industry preferred.
  • Ability to multi-task, prioritize tasks with good time-management skills, and meet tight deadlines in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Highly organized, detail-oriented, and a good problem-solver.
  • Good interpersonal and communication skills.
  • Excellent command of Cantonese and English, both spoken & written.
  • Proficiency in MS Office.
